Volunteer & Fundraising Coordinator

Location: Work from home with travel across the region
Hours: 35 hours per week with some evening and weekend work required
Salary: £13.50 per hour

 

About the Role:

We are looking for a competent Volunteer and Fundraising Coordinator to recruit and manage volunteers whilst also supporting individual fundraisers, managing donation processes and ensuring both supporters and volunteers feel valued and engaged.

Key Responsibilities:

Volunteers

  • Source and recruit volunteers through various techniques (databases, e-mail, social media etc.)
  • Collect information on availabilities and skills

  • Organise volunteer training and Mental Health Awareness Training for members of the farming community and businesses.

  • Assign volunteer roles to volunteers according to their skills.

  • Work with Assistant Charity Manager to coordinate teams of volunteers for large-scale events

  • Communicate frequently with volunteers to ensure they are satisfied and well-placed including 6 monthly reviews.

  • Disseminate information for upcoming volunteering opportunities

  • Keep detailed records of volunteers’ information and assignments using CRM system.

  • Organise DBS checks for all volunteers

  • Organise Volunteer “Thankyou” events and information events to keep all volunteers up to date with the charities progress.

     

      Fundraising 

  • Track, collect and maintain donation buckets, including physically collecting and dropping them off.
  • Write and send timely thank you letters to supporters, including handling postage.
  • Provide end-to-end support to individuals organising fundraising events.
  • Respond to email enquiries related to individual donations and send out donation forms.
  • Attend cheque presentations and represent the charity at individual giving events.
  • Deliver talks and presentations at fundraising events to promote the work of the charity.
  • Attend and assist at individual fundraising events when possible.
  • Record all donations accurately using our CRM system.
  • Support internal events as required.
  • Manage and archive completed donation forms on the CRM system.
  • Ensure individual fundraisers receive the resources they need, such as t-shirts and fundraising packs and deliver materials where needed.
  • Count and bank donations with full transparency and communicate records with relevant team members.
  • Work in line with all WAFM policies and procedures.
  • Be adaptable to the changing needs of the charity, including occasional evening and weekend work.

Volunteer Charity Treasurer 

About the Role:

We are looking for a Volunteer Charity Treasurer with strong financial management skills to join our passionate team and help us manage our resources effectively so we can continue making a real difference in the farming community.

This role is key to ensuring our charity remains financially healthy, compliant, and sustainable. You will maintain accurate financial records, prepare budgets and reports, support funding applications, and guide the Board in making informed financial decisions. Your expertise will help us maximise every pound we receive so we can reach more people in need.

The role requires 2–5 hours per week on a regular, ongoing basis. In addition, you will be expected to attend quarterly evening trustee meetings, either in person or via Zoom, to present a Treasurer’s Report.

Key Responsibilities:

  • Maintain computerised accounting records using Xero

  •  Maintain purchase and sales ledgers, including entering purchases, raising sales invoices and reconciling ledgers with statements

  •   Reconcile bank accounts regularly

  • Record all cash expenses and receipts

  • Allocate spending and income to correct the income stream – Grant funding, restricted or unrestricted funds

  • Allocate fundraising events costs and income correctly

  • File expense & income records

  • Liaise with accountants at year-end, prepare accounts and deliver physical records to the accountant’s office as required

Budget Reporting: 

  •  Prepare an annual income & expenditure budget for the financial year

  • Produce a monthly Actual/Variance report for the team & Trustees

  • Monitor the Big Lottery Community Fund Grant, prepare a quarterly actual/variance report for submission to grant funders

  •  Support the preparation of grant funding applications

Charity Commission: 

  • Submit the Annual Return & Trustees Report to the Charity Commission
  • Keep Trustee information up to date

What We're Looking For: 

  • A recognised professional financial qualification
  • Knowledge and experience of current finance practice relevant to voluntary and community organisations 
  • Strong understanding/knowledge of bookkeeping and financial management 
  • Good financial analysis skills
  • Ability to communicate clearly to provide clarity to the board about financial matters
  • An understanding of the type of work undertaken by the charity and commitment to the values and ethos of We Are Farming Minds 
  • A genuine passion for improving the lives of farming families struggling with mental health is essential
  • The ideal candidate would be dedicated, organised and conscientious, bringing both insight and strategic vision to the role 
  • A great sense of humour is a must!

What difference will you make? 

 The Treasurer plays a key role in ensuring the charity is compliant with government guidelines and HMRC requirements. This is vital in ensuring the continued charity existence. Furthermore, through budgeting, grant applications and providing financial advice, the treasurer can ensure that our limited funds are best spent towards our charitable aims and objectives, ensuring the maximum possible impact in helping us to tackle mental health issues within the Herefordshire Farming Community.
